Brain & Brand Kit
Your Brain is WorkMate's memory of your business. Your Brand Kit is where you define the visual and verbal identity that shapes how your WorkMates communicate on your behalf.
What it is
Brain: Your Workspace Memory
Brain is a password-protected knowledge base where WorkMate stores facts, decisions, preferences, and lessons about your business. Your WorkMates reference it when drafting emails, social posts, and responses—so they stay on-brand and remember what you've already decided.
Brain organizes memories into folders: Business Info (company facts), Preferences (how you like things done), Tasks (standing reminders), Lessons/Corrections (rules you've taught it), Journal (dated learnings), and Library (supporting documents and assets).
You control who sees what with a Brain password. Only you can unlock it to search, edit, or delete memories.
Brand Kit: Your Visual & Verbal Identity
Brand Kit is a dedicated space to define the visual and voice guidelines your WorkMates use. It includes:
- Logo — Upload your workspace logo for use in templates and designs
- Color Palette — Your brand colors with names (e.g., "Deep Cove," "Vibrant Orange")
- Typography — Heading and body fonts your WorkMates reference for consistent styling
- Imagery Rules — Photography style, filter approach, and icon conventions
- Brand Voice — How you want to sound (friendly, formal, conversational)
- Description — A short summary of what your business does
- Value Proposition — What makes you different
Brand Kit information lives in Brain, so it's always available to your team of WorkMates.
Key screens
Brain (Knowledge tab)
Enter your Brain password to unlock the full view. You'll see:
- Search bar — Find memories by label, content, or date
- Folder filter — Narrow down by category
- Timeline view — All memories organized by date, grouped by topic (Profile, Business, Contracts, Learnings)
- Edit controls — Add or update facts, upload supporting assets, or request Brain to revise existing memories
- Delete option — Remove memories you no longer need
Brand Kit
A focused editor showing all your brand elements:
- Logo card — Click to upload or change your logo
- Color swatches — Add, name, or remove colors
- Typography display — Shows your current heading and body fonts
- Voice & copy fields — Short text boxes for brand voice, description, and value proposition
- Imagery rules panel — Define your photography and icon style
Common tasks
Save a new business fact:
Open Brain, unlock it with your password, type or paste the fact, and click Add. Brain organizes it into the right folder based on content.
Upload a brand asset:
Go to Brand Kit, click Upload on any card (logo, colors, imagery), select your file, and confirm. Assets are stored in your workspace library and available to all your WorkMates.
Update your brand voice:
In Brand Kit, find the Brand Voice field, click to edit, and describe how you want to sound (e.g., "Friendly and direct, no jargon"). Save and your WorkMates will follow suit in new drafts.
Search your Brain:
Unlock Brain, type in the search bar, and filter by folder. Results show matching facts, their source, and date added.
Revise a memory:
In Brain, find the memory, click Edit, and either change it inline or describe what you'd like changed. You can also ask Brain to update multiple related facts at once.
Tips
- Set a memorable Brain password at least 4 characters and write it somewhere safe. If you forget it, you can request a reset link sent to your account email.
- Use Brand Kit first before creating design requests—WorkMates pull color and typography info from here automatically.
- Add imagery rules early. Even a simple description like "Bright, modern photography with blue tones" helps WorkMates stay consistent.
- Brain works best with regular updates. When you make a decision or learn something new about customer preferences, add it to Brain. The more it knows, the better your WorkMates perform.
- Keep voice guidance simple. Instead of "No slang," try "Professional but approachable. Use plain words."
- Attach supporting assets to Brain edits (PDFs, images, style guides) so WorkMates have full context when they reference your instructions.
