Inbox & Email Manager

WorkMate OS keeps all your pending reviews and decisions in one place: the Inbox for agent-generated work, and the Email Manager for your incoming emails.

What It Is

Your Inbox is the central triage hub where WorkMate agents send you items that need your review and approval before they go live. This includes social media drafts, website copy changes, follow-up emails to leads, and other deliverables waiting for your sign-off.

The Email Manager connects your Gmail or Outlook inbox so you can see important emails in WorkMate, draft smart replies in your voice, and keep all your email decisions tracked in one place.

Both screens help you stay in control — nothing ships without your review, and you never miss an important email.

Key Screens

Inbox

Your Inbox shows all pending items across WorkMate that need your decision. Each item displays:

  • What it is — social post pack, website copy update, lead follow-up, or other deliverable
  • Who sent it — which WorkMate agent prepared it
  • Priority level — so you handle urgent items first
  • A clear preview — see the exact content before you decide

Actions are simple: Approve to publish, Request Changes to send feedback back to the agent, Decline to reject, or Delete to clear it out.

Email Manager

The Email Manager pulls emails from your connected Gmail or Outlook account and highlights the ones that need action. You'll see:

  • Connected email accounts — which Gmail or Outlook mailbox you're reviewing
  • Action queue — high-priority emails that need your attention first
  • Marketing tab — skip marketing and cold emails by viewing them separately
  • AI-drafted replies — WorkMate can suggest a reply in your tone, ready for you to send or edit
  • Sent & actioned emails — view processed emails marked as "Actioned" in your inbox

The Email Manager respects your preferences: set it up to auto-handle routine replies (like "thanks for reaching out, I'll respond soon") while flagging important customer emails for your personal review.

Common Tasks

Reviewing and approving an item in your Inbox:

  1. Click on the item to see its full preview
  2. Read the content and check the details
  3. Click Approve to go live, Request Changes to send feedback, or Decline to reject
  4. The item is cleared and the agent gets your decision

Connecting your email:

  1. Go to Email Manager
  2. Click Connect Gmail or Connect Outlook
  3. Log in with your email provider's OAuth (your password stays safe)
  4. Grant access so WorkMate can read and draft replies
  5. Your inbox automatically loads and refreshes

Drafting and sending an email reply:

  1. Click an email in your action queue
  2. Review WorkMate's suggested reply (or edit it to match your style)
  3. Click Send to go out immediately
  4. The email is marked as "Actioned" and appears in your message history

Filtering emails: Use the Marketing tab to view marketing emails and cold outreach separately, so your action queue stays focused on emails that need your response.

Tips

  • Check often — your Inbox and Email Manager stay current as agents prepare work and emails arrive. A quick daily review keeps things from piling up.
  • Set your tone — make sure your Brain has your voice and style documented. The smarter WorkMate knows your tone, the better the email drafts and suggested replies will sound.
  • Automate the routine — if you get a lot of "thanks for reaching out" type emails, let WorkMate auto-reply to those while routing real inquiries to you. Check your Automation settings in your workspace.
  • Use priority levels — inbox items are tagged with priority so you know what to tackle first. Start with high-priority items.
  • Batch your reviews — set aside 10 minutes at the start of each day or end of day to clear your Inbox. It's faster than scattered approvals throughout the day.
  • Review before approving — a quick scan of the preview is worth the 10 seconds. It catches mismatches between what you expected and what the agent delivered.
