Tasks

The Tasks screen lets you manage work without leaving your WorkMate OS workspace. Keep reminders, one-off tasks, and recurring automations in one place where your team and WorkMates can see them.

What it is

The Tasks screen organizes work into three types:

Tasks are one-off work items you or your WorkMates own. Create a task, add details, set a due date, and assign it to a team member or agent. Track status as the work moves from queued → in progress → needs review → done.

Reminders are timed nudges for follow-ups, deadline checks, and one-time alerts. Set a reminder, pick when you want it delivered, and you'll get notified when it arrives. Reminders don't need an assignee—they're for you to act on.

Recurring automations are repeatable workflows that run on a schedule. Set them up once, choose a cadence (daily, weekdays, weekly on a specific day, monthly), and pick the time they should run. WorkMates execute them automatically, and you can pause, resume, or edit the schedule anytime.

Common tasks

Create and track a task

  1. Open Tasks and select "Task" from the item type dropdown.
  2. Add a title ("Prepare Q4 forecast") and optional details.
  3. Set a due date and time, or leave it blank for a flexible deadline.
  4. Assign it to yourself, a team member, or a WorkMate agent.
  5. Click "Create task."
  6. Watch the task status in its lane. Click the status buttons to move it through your workflow (pending → in progress → review → done).

Set up a reminder

  1. Select "Reminder" from the item type dropdown.
  2. Add a title and optional details about what you're being reminded to do.
  3. Set the exact date and time you want the reminder to arrive.
  4. Click "Set reminder."
  5. When the time arrives, you'll be notified.

Schedule a recurring automation

  1. Select "Recurring automation" from the item type dropdown.
  2. Add a title and describe what should happen.
  3. Set the starting date and time.
  4. Choose a repeat pattern: every day, every weekday, weekly (pick the day), or monthly (pick the date of the month).
  5. Set the time of day it should run.
  6. Assign it to a WorkMate agent (e.g., "dispatcher").
  7. Click "Schedule automation."
  8. Your automation runs on the schedule automatically. Check the run history in the automation's details to see what happened each time.

Edit or pause an automation

  1. Find the automation in the Recurring automations lane.
  2. Click "Edit schedule" to change the cadence or next run time.
  3. Click "Pause" to stop it temporarily, or "Resume" to restart it.

Delete a task, reminder, or automation Click the trash icon on any item. You'll be asked to confirm—this also deletes the run history.

Tips

  • Agent assignments matter: Tasks and automations assigned to WorkMates (like "dispatcher") get executed by the system. Tasks assigned to team members are requests that need human action.
  • Keep it simple: A clear title and one sentence of context is usually enough. WorkMates can ask clarifying questions if they need more.
  • Run history is your audit trail: For automations, expand "Run history" to see when each run executed, whether it succeeded, and any error details. This helps you spot patterns if something keeps failing.
  • Reminders stack: You can set as many reminders as you need. They're delivered when their time arrives, so use them for follow-ups, deadline checks, or batched actions.
  • Blocked is temporary: If a task or automation gets blocked (usually because an agent hit a dead end), you can unblock it by clicking "Resume" (for automations) or "Reopen" (for tasks).
  • Workflows are stored: If a recurring automation came from an accepted contract or learned workflow, you'll see metadata showing the steps and review rules. This helps you understand what the automation does and why.
